4. SMS, Text & Phone Number Data
When you opt in to receive text messages from us (for example, by checking the SMS consent box on a contact form, by texting us first, or by signing a Service Agreement that includes SMS authorization), we collect and process the following:
- Your mobile phone number
- The exact opt-in text you agreed to, plus the timestamp and IP address
- Whether your number is on our active opt-in list or our suppression list
- Message delivery status and replies you send to us (e.g., STOP, HELP)
How we use SMS data. SMS data is used to send appointment confirmations, dispatch and ETA updates, two-way customer service conversations, quote and proposal follow-up, payment and account notices, satisfaction surveys, and other transactional or service-related messages, as well as marketing messages where you have separately consented.
Sharing. Mobile information, including phone numbers and SMS opt-in status and consent records, will not be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with our SMS infrastructure providers (for example, our messaging gateway, CRM, and dispatch software) solely to deliver the messaging service you requested. These providers are contractually limited to using the data on our behalf.
Opt-out. Reply STOP to any text message to unsubscribe. Reply HELP for help. You can also email support@quickairandplumbing.com or call (877) 838-2508. Opt-out requests are honored immediately for the program you opted out of; you may continue to receive transactional messages tied to an active open service request unless you also request that those stop.
Retention. We retain SMS consent records for at least four (4) years after opt-out for compliance and dispute-resolution purposes. Suppressed numbers are retained indefinitely to prevent re-contact.
5. Call Recording
Inbound and outbound phone calls may be monitored or recorded for quality assurance, training, dispatch accuracy, safety, and dispute resolution. Florida is a two-party (all-party) consent state. You will be informed at the start of the call that the call may be recorded; continuing the call constitutes your consent. If you do not consent to recording, please tell the representative and we will continue the conversation without recording or arrange another channel.
8. Service Providers & Subprocessors
Categories of subprocessors include cloud hosting, database and authentication providers, SMS/email gateways, CRM platforms, payment processors, mapping and routing services, advertising and analytics platforms, and call-center/dispatch software. A list of major subprocessors is available on request to support@quickairandplumbing.com.
9. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy, to comply with legal obligations (including Florida contractor record-keeping rules), resolve disputes, and enforce agreements. Typical retention periods:
- Lead/contact submissions without service: up to 3 years
- Customer service records: 7 years after last service
- Financial records: as required by tax and accounting law (generally 7 years)
- SMS consent and opt-out records: minimum 4 years
- Call recordings: typically 12-24 months unless tied to an open dispute
10. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit, role-based access controls, audit logging, vendor security review, and limited retention. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
11. Your Privacy Rights
Depending on where you live, you may have the right to:
- Confirm whether we process your personal information
- Access a copy of the information we hold about you
- Correct inaccurate information
- Request deletion (subject to legal retention obligations)
- Opt out of marketing communications
- Opt out of "sale" or "sharing" of personal information (we do not sell or share for cross-context behavioral advertising)
- Withdraw consent for SMS or email programs at any time
Submit requests by emailing support@quickairandplumbing.com or calling (877) 838-2508. We will verify your identity using information already on file before fulfilling sensitive requests. Authorized agents may submit requests with written permission.
12. Florida Residents
The Florida Digital Bill of Rights (FDBR) gives qualifying Florida consumers additional rights regarding their personal information, including the right to opt out of targeted advertising, profiling, and the sale of personal data, and the right to access, correct, delete, and obtain a portable copy of personal data. Submit requests using the contact information in Section 18.
13. California Residents (CCPA/CPRA)
California residents may exercise rights under the California Consumer Privacy Act, as amended by the CPRA, including the right to know, delete, correct, and limit use of sensitive personal information, and the right to opt out of sale or sharing. We do not sell personal information and do not share personal information for cross-context behavioral advertising. You will not be discriminated against for exercising these rights.
14. Children's Privacy
Our website and services are intended for adults aged 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
15. Do Not Track & Global Privacy Control
Some browsers send "Do Not Track" (DNT) or Global Privacy Control (GPC) signals. Where required by applicable law, we treat a recognized GPC signal as a valid opt-out of sale or sharing for cross-context behavioral advertising. We do not otherwise respond to DNT signals because there is no consistent industry standard.
16. International Visitors
Our services are directed to residents of the United States, primarily Florida. If you access the website from outside the U.S., your information will be transferred to and processed in the United States, which may not provide the same level of data protection as your home jurisdiction.
17. Changes to This Policy
We may update this Policy from time to time. The "Effective Date" at the top indicates when the Policy was last revised. Material changes will be posted on this page and, where appropriate, communicated by email or in-app notice.
